Meeting Rooms Terms & Conditions
The following are the Terms and Conditions (T&Cs) of use of meeting rooms at The Commons. These terms are agreed to by default of commencement of your booking. If there is anything that you wish to query or clarify regarding these terms, please contact us at events@thecommons.com.au. You should seek independent legal advice in relation to any terms you do not understand, prior to your booking.
What is included in your booking?
- Room hire
- Unlimited self-service tea and coffee
- Still and sparkling water
- Presentation screens with Airtame and HDMI connections
- Whiteboard and markers
- Pens, pencils and notepads
- High speed WiFi
- Professional reception service
Access to your meeting room:
- Payment must be finalised 24 hours in advance (1 business day)
- Payment must be finalised 48 hours in advance (2 business day)
- Full day hire is from 9am - 5pm only
- Half day hire is for a 4 hour time period only
- In the event your meeting runs overtime, providing the room is available, you will be charged by the hour at an associated rate and will be invoiced upon completion of your meeting
- Boardroom: $100
- 8-PAX, 6-PAX & 4-PAX: $75
- You may be required to leave at your original specified time if we cannot accommodate your last-minute meeting extension request
- In the event of a full day booking, you must exit the building by 5pm
- In line with our current Covid-Safe Visitor Guidelines, we are restricting access to communal areas, including kitchens. You will be expected to conduct your meeting inside your booked meeting room, not in communal work areas at The Commons
- Please provide us with the specifications of devices prior to your booking to ensure smooth connection to our screens
- Our WiFi is available for 5ghz enabled devices only. 2.4ghz devices will not be able to access WiFi.
Payment
You agree to pay all Fees by a credit card (Visa, Mastercard or Amex) or Bank Transfer Payment. Visa, Mastercard and Amex may be subject to a surcharge in accordance with varying bank rates (e.g. Visa/Mastercard or Amex).
Printing
Printing is available at an additional cost if over 20 pages are requested to be printed 20 cent per black and white page, and $1 per colour page will be invoiced upon completion of your booking.
Damages
If any damages are incurred to the room or our space upon your departure we may charge appropriate maintenance or cleaning fees on top of your pre-paid room hire fee.
Cancellation Policy
We understand that plans change so if you do need to cancel please do so at least 48 hours (two business days) prior for a full refund, 24 hours (one business day) prior for a 50% refund. If you cancel within the 24-hour time frame no refund will be generated.
